Position Purpose:

  • The Executive Assistant position provides administrative support to Executives at TractManager and its family of brands, including Newport, Hayes, MD Buyline and MediTract.

Education & Experience:

  • Bachelor's Degree required. 5+ years of Executive Assistant experience preferred

  • Demonstrated experience providing excellent support to Executive level employees
  • Proficient in Microsoft Office Suite including Outlook, Word, Excel and PowerPoint

  • Able to work as a team member and demonstrate a high level of collaboration
  • Displays high degree of initiative, ownership, and accountability towards projects and duties

Responsibilities & Essential Functions:

  • Reading, researching, responding to and/or routing both email and regular mail correspondence for executives.
  • Communicating on behalf of executives to others via email and phone conversation. Act as a liaison with other departments, business units, and external partners and/or vendors.
  • Managing office needs, including ordering supplies, mail scanning/distribution, filing, events, developing/distributing office-wide communications, ensuring a professional work environment.
  • Planning and scheduling meetings and conferences - working with executives to prepare agendas; provide executives with pertinent information for meeting preparation
  • Provide hospitality for meetings if necessary - including ordering lunches and anticipating needs for meetings when needed; being proactive and highly detailed
  • Planning and scheduling travel, including hotels, airfare, ground and all meetings while travel - provide detailed itinerary (electronic and hard copy whichever is preferred by executives)
  • Handle all information with the utmost discretion, including not sharing sensitive and confidential information
  • Create and develop reports and visual presentation utilizing Microsoft PowerPoint or other software
  • Continue to learn and grow through collaborating with team members, completing eLearning assignments and leveraging all other such learning opportunities
  • Provide regular updates to Manager and assist Manager and/or other executive assistants with projects
  • Other duties as assigned
