Position Purpose:

  • The Executive Assistant position provides administrative support to Executives at TractManager and its family of brands, including MD Buyline and MediTract.

Education & Experience:

  • High School Diploma required; Bachelor's Degree a plus
  • Minimum 3-5 years of Executive Assistant experience required

  • Demonstrated experience providing excellent support to Executive level employees
  • Proficient in Microsoft Office Suite including Outlook, Word, Excel and PowerPoint
  • Excellent customer service skills and people oriented
  • Must have the ability to multi task and work independently without a lot of direction
  • Able to work as a team member and demonstrate a high level of collaboration
  • Excited to learn new things and not afraid of change
  • Impeccable attention to detail
  • Ability to communicate well with employees at all levels, both verbally and in writing (emails, etc)

Responsibilities & Essential Functions:

  • Reading, researching, responding to and/or routing both email and regular mail correspondence for Steering Committee members
  • Communicating on behalf of executive to others via email and phone conversation. Act as a liaison with other departments and external partners and/or vendors.
  • Planning and scheduling meetings and conferences - working with executive to prepare agendas; provide executive with pertinent information for meeting preparation
  • Provide hospitality for meetings - including ordering lunches and anticipating needs for meetings when needed; being proactive and highly detailed
  • Track follow up items from meetings - keep historical list of items
  • Planning and scheduling travel, including hotels, airfare, ground and all meetings while travel - provide detailed itinerary (electronic and hard copy whichever is preferred by executive)
  • Handle all information with the utmost discretion, including not sharing sensitive and confidential information
  • Prepare monthly expense reports with accuracy and in a timely manner
  • Create and develop reports and visual presentation utilizing Microsoft Power Point or other software
  • Continue to learn and grow through collaborating with team members, completing eLearning assignments and leveraging all other such learning opportunities
  • Provide regular updates to Manager and assist Manager and/or other executive assistants with projects
  • Other duties as assigned

  • While performing the essential functions of this job, the employee is frequently required to stand, walk and sit
  • The employee must occasionally lift and/or move up to 20 pounds
