The Senior Staff Accountant -  Accounts Receivable at TractManager performs a variety of accounting tasks relating to Accounts Receivable, Revenue Recognition (Deferred & Accrued), Cash application, Collections, and month end reconciliations and journal entry preparation.

Tasks include but are not limited to: Process monthly billing, maintain and make continual efficiencies to billing process, prepare monthly billing reports for management, oversee collection process, work closely with the client regarding their account, as well as assist with any ad hoc reporting and projects.

  

Roles and Responsibilities:

  • Responsible for New Client Set Up in all Accounting related CRMs
    • Obtains all necessary information for set up including Billing and Physical location addresses, email addresses, etc.
    • Updates/maintain Billing ID
    • Updates/maintain Client's tax status
    • Updates/maintain Contract Start and Ending dates
    • Updates/maintain Billing Set-Up Start and End Dates
    • Update/maintain pricing plans
  • Maintains Billing Set-Ups in applicable CRM for Current/Existing Clients
    • Update/maintain pricing plans
    • Update/maintain critical contract dates
    • Update/maintain critical revenue recognition start/stop dates
    • Update/maintain billing information for New Logo & Amendment transactions
  • Accurately applies cash to client invoices and posts receipts timely
  • Processes monthly billing and distributes invoices and statements to clients
  • Ensures all revenue has been recorded in the correct period and to the correct GL account in Great Plains.
  • Reports to management monthly billing variances
  • Updates revenue reports and distributes to management
    • Revenue Forecast
    • Monthly Attrition
    • A/R Summary
  • Ensures all critical client information regarding billing, collections, client activity and terminations has been communicated to Business Development and management
  • Implements, and/or assists with the implementation of any A/R related tools, software add ons, or processes (i.e. client portal, sales tax rate updates, etc)
  • Reviews the Aged Receivables report and drives Collections
  • Is responsible for past due invoice Collection efforts and maintains adequate notes to communicate to management the status of collections
  • Reports DSO monthly and ensures DSO is at or below annual goal
  • Responds to client inquiries regarding price discrepancies, billing inquiries, invoices, statements and other requested information
  • Ensures client information, including addresses and sales tax exempt status are up to date and accurate in Great Plains
  • Makes daily bank deposit
  • Performs bank account reconciliations
  • Performs month end account reconciliations and provides adequate support
  • Maintains historical cash application records
  • Continual process improvement

 

Skills:

  • 3-5+ years of accounting experience
  • Must have working knowledge of GAAP
  • Ability to analyze financial data and prepare/produce meaningful reports
  • Strong Organizational skills with a great attention to detail
  • Must be technically skilled in Microsoft Office particularly Excel
  • Experience with Microsoft Dynamics Great Plains or other Enterprise ERP system preferred
  • Experience with deferred accounting software preferred
  • Ability to prioritize, multi-task, problem solve, and make reasonable decisions based on company policies and practices
  • Ability to troubleshoot and solve problems proactively and independently
  • Must be adaptable and flexible to change in demands and priorities in a fast-paced environment
  • Must possess excellent communication and interpersonal skills
